River Run Dental Centre (“we”, “us” or “our”) is a family dental clinic at 11-1525 Bristol Rd W, Mississauga, ON L5M 4Z1. We take your privacy seriously. This policy explains what personal information we collect through our website, our ads and our clinic, why we collect it, who we share it with and the choices you have.
Our dentists are regulated by the Royal College of Dental Surgeons of Ontario (RCDSO). As a health care provider, we are a health information custodian under Ontario’s Personal Health Information Protection Act, 2004 (PHIPA). Other personal information is handled in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Information we collect
When you book or contact us online
Our appointment and contact forms ask for:
- your first and last name, email address and phone number
- whether you are a new or existing patient
- the service you’re interested in, your preferred date and time, and your insurance type
- anything you choose to write in the message box
Please don’t include detailed health information in a web form or email. We’ll talk about your dental needs by phone or at your visit.
When you visit our clinic
As your dental clinic, we collect personal health information needed to care for you, such as your medical and dental history, X-rays, clinical notes, treatment plans, insurance details and billing records. This information is kept in your dental record and protected under PHIPA.
When you use our website
Like most websites, our site and web host collect basic technical information, such as your IP address, browser and device type, the pages you visit and the date and time of your visit. We use this to keep the site secure and working.
Cookies, the Meta Pixel and advertising
We advertise on Facebook and Instagram, which are run by Meta Platforms, Inc. To measure and improve our ads, our website may use the Meta Pixel, a small piece of code that places cookies in your browser. It lets Meta and us know when someone who saw or clicked one of our ads visits our website or requests an appointment.
The Meta Pixel may collect:
- the pages you visit on our site and the actions you take, such as starting or submitting a booking request
- technical details such as your IP address, browser, device and cookie identifiers
We use this information to count how many people book after seeing an ad, and to show our ads to people who have visited our website (sometimes called retargeting) or who are similar to them. We do not send your name, email, phone number, message, the service you chose or any health information to Meta. Meta handles the information it collects under its own Privacy Policy.
We may also use a small number of cookies needed for the website to work, such as those that keep the booking form secure.
2. How we use your information
- to respond to your request, book or change appointments and send reminders
- to provide dental care, keep accurate dental records and bill you or your insurer
- to meet our legal and professional duties, including RCDSO record-keeping rules
- to keep our website secure and understand how it’s used
- to measure and improve our online ads, as described above
We don’t sell, rent or trade your personal information. We don’t use your personal health information for marketing, and we won’t send you promotional emails or texts without your consent. You can unsubscribe from any message at any time.
3. Consent
By sending us a form, calling us or booking a visit, you agree that we can use your information to respond and to schedule your care. Under PHIPA, we may rely on your implied consent to share health information with others involved in your care, such as a specialist we refer you to or a dental lab. We ask for your express consent before sharing your health information for any other reason, unless the law allows or requires it.
You can withdraw your consent at any time, subject to legal limits. If you withdraw consent, we’ll explain how it might affect the care or services we can provide.
4. Who we share information with
We share only what’s needed, and only with:
- Your insurer or benefits plan, including the Canadian Dental Care Plan and other government programs, when we bill them for you
- Other health care providers involved in your care, such as specialists and dental labs
- Service providers who help us run the clinic and website, such as our web host, email and spreadsheet provider (Google), practice software and appointment reminder tools. They may only use your information to provide their service to us.
- Advertising platforms (Meta), limited to the website activity and technical information described in section 1
- Regulators and authorities when the law requires it, such as the RCDSO or a court order
Some of our service providers store data outside Ontario or Canada, including in the United States. When that happens, your information may be subject to the laws of that country.
5. How we protect your information
We use physical, administrative and technical safeguards, such as locked storage, password-protected systems, encrypted website connections (HTTPS), and staff training on privacy. Only staff who need your information to do their jobs can see it. If a privacy breach happens that could affect you, we’ll notify you and, where required, the Information and Privacy Commissioner of Ontario.
6. How long we keep it
We keep dental records for at least as long as the RCDSO requires, which is generally at least 10 years after your last visit, or for patients under 18, at least 10 years after their 18th birthday. Online appointment requests from people who don’t become patients are kept only as long as needed to respond, then deleted. When records are no longer needed, we destroy them securely.
7. Your choices and rights
- Access and correction: you can ask to see a copy of your dental record or the personal information we hold about you, and ask us to correct it. We may charge a reasonable fee for copies, as allowed by PHIPA.
- Cookies and ads: you can block or delete cookies in your browser settings. You can control the ads you see on Facebook and Instagram in your Meta ad preferences, and opt out of interest-based ads from participating companies at YourAdChoices.ca. Blocking cookies won’t stop you from booking with us.
- Marketing messages: you can unsubscribe or ask us to stop contacting you at any time.
8. Third-party websites and services
Our site links to outside websites, such as government, dental association and insurance websites, and to our Google, Facebook and Instagram pages. Our contact page shows an embedded Google map. These services have their own privacy policies, and we’re not responsible for how they handle your information.
9. Children
Our website is meant for adults. Parents or guardians book appointments and share information for children in their care.
